Download invoices from Gmail

Collecting invoice attachments before a VAT return, tax deadline, or bookkeeping handover can mean opening the same kinds of messages again and again. Mail Senses helps turn that pile into one download. Choose the Gmail label and date range that hold the invoices, then download the matching attachments as a free ZIP file for your accountant or accounting software.

Download Gmail attachments

How it works

  1. Prepare the invoices in Gmail first. If supplier mail is already labelled, use that label. Otherwise search Gmail for a supplier, an invoice number, or filename:pdf, select the useful results, and apply a label such as Invoices 2026. Gmail search is also the place to narrow by file type; Mail Senses does not offer a PDF-only selector.
  2. Choose a reporting period before you start. A quarter, tax year, or month makes the result easier to check. In Mail Senses, select the inbox or Gmail label you prepared and enter the start and end dates for that period. The app searches the selected labels and dates, not the text of your messages.
  3. Connect Gmail and grant read-only access. Mail Senses can read the messages needed to find attachments, but it cannot send mail, change labels, or delete anything in your account. It downloads file attachments with a filename extension, except .eml files, from messages that match the label and date choices.
  4. Download the ZIP and check its contents before you send it on. The ZIP keeps files from each selected Gmail label in a matching folder. You can hand that folder to an accountant, add the files to your accounting software, or keep it with your records. Individual prepared files are also available in the results.
  5. Use a clear naming routine for the next period. A label such as Invoices 2026 Q1 and a separate ZIP per quarter are easier to find than one large archive. Rename or organize copies after download if your accountant needs a supplier or date convention; each ZIP groups the downloaded files by the selected Gmail label.

Frequently asked questions

Can I download both invoices and receipts?
Yes, if they are in the Gmail labels and date range you choose. For a cleaner handover, give invoices and receipts separate Gmail labels before you download them.
Can I filter invoice downloads to PDFs?
Mail Senses does not have a PDF-only filter. Use Gmail search, for example filename:pdf, to find PDF messages and apply a Gmail label to them before selecting that label in Mail Senses.
Does Mail Senses read the text of my invoices or emails?
No. The selection is based on Gmail labels and dates. Mail Senses finds attachments in the matching messages; it does not use email or invoice text as a filter.
Is Mail Senses safe for business mail?
Mail Senses requests read-only Gmail access, so it cannot send, edit, label, or delete email. Treat the downloaded ZIP like any other business document and store or share it securely.
Can I upload the ZIP directly to accounting software?
That depends on your accounting software. Download and review the ZIP first, then extract it and follow your software’s import process. Mail Senses does not connect to accounting platforms.
